RF scanner not reading barcodes or serial numbers

Troubleshooting steps when an RF scanner fails to read or process a barcode, QR code, or serial number label, even when the label appears correct.

Written by Tom Higgs

If an RF scanner is not reading a barcode, QR code, or serial number, or is scanning it but not registering correctly in DeltaWMS, work through the steps below to identify the cause.

Check the label

  1. Confirm the label is not damaged, torn, or smudged. Even minor damage can prevent a successful scan.

  2. Try scanning the same label with a different RF gun. If a second gun reads it successfully, the issue is with the original device rather than the label.

  3. If no gun can read the label, the barcode format or print quality may need reviewing. Contact the label supplier or your IT team.

Check the scanner settings

If the label appears undamaged and scans correctly on another gun, the issue may be with the scanning configuration on the affected device:

  1. Restart the RF gun by powering it off and on again.

  2. Log back in to DeltaWMS and attempt the scan again.

  3. If the gun still cannot read the barcode type (for example, QR codes or GS1 barcodes), contact support — the scanner may need its symbology settings updated.

Contact support

If the steps above do not resolve the issue, contact support and include the following:

  • A photo or sample of the label that is failing to scan.

  • Confirmation of whether the issue affects one scanner or multiple devices.

  • The task being performed when the scan fails (for example, goods receipt, putaway, or picking).

  • Any error message shown on the RF gun after the failed scan.
